Privacy Policy

Last Updated: December 2025

1. Introduction

Tenzeya Technologies Private Limited (“Tenzeya”, “we”, “us”, or “our”) operates the Agentic Tender Intelligence Platform (the “Platform”).

Your privacy matters to us. This Privacy Policy explains, in clear and simple terms, what information we collect, how we use it, who we share it with, and what rights you have when you use our Platform and related services (collectively, the “Services”).

By using the Services, you agree to the collection and use of your information as described in this Policy.

2. Information We Collect

We collect three main types of information:

A. Information You Provide Directly

  • Account details: name, email address, company name, job title, phone number
  • Tender and bid information: RFPs, proposals, bids, contracts, evaluation criteria, scores, comments, and related files you upload
  • Payment and billing information (processed securely by trusted third-party payment providers)
  • Correspondence with our support, sales, or success teams

B. Information Collected Automatically

  • Usage and device data: IP address, browser type, operating system, pages viewed, time spent, and actions taken on the Platform
  • Cookies and similar technologies: used to improve performance, remember preferences, and analyze how the Platform is used (you can manage cookie preferences in your browser settings)

C. Information from Third Parties

  • Data from integrations you authorize (e.g., Microsoft Teams, Google Workspace, ERP systems)
  • Publicly available sources such as government tender portals, company registries, and compliance databases (used only to power our intelligence features)

3. How We Use Your Information

We use your information to:

  • Deliver, operate, and improve the Platform and Services
  • Process payments and manage your subscription
  • Generate AI-powered insights, risk scores, predictive analytics, and recommendations
  • Detect and prevent fraud, abuse, and security risks
  • Communicate with you (support, product updates, account notices, and — where you’ve opted in — marketing)
  • Conduct research and develop new features (using anonymized or aggregated data only)
  • Comply with legal and regulatory obligations

4. Legal Bases for Processing (GDPR, DPDPA, and Similar Laws)

Where applicable laws require a legal basis, we rely on:

  • Performance of our contract with you (to provide the Services)
  • Our legitimate interests (e.g., security, fraud prevention, product improvement, and direct marketing — provided these do not override your rights)
  • Your consent (e.g., for optional cookies or marketing communications)
  • Compliance with legal obligations

5. How We Share Your Information

We do not sell your personal data.

We only share information in these limited cases:

  • With your explicit consent or at your direction
  • With trusted service providers (hosting, analytics, payment processors, customer support) who are bound by strict confidentiality obligations
  • Aggregated or anonymized insights for research, benchmarking, or industry reports
  • When required by law, regulation, or valid legal process
  • In the context of a merger, acquisition, or sale of assets (with notice to you where required)

6. Data Security

We use industry-standard security measures—including encryption in transit and at rest, access controls, regular penetration testing, and secure development practices—to protect your information. While we take every reasonable precaution, no system can guarantee 100% security.

7. Data Retention

We keep your personal data only as long as necessary for the purposes described in this Policy or as required by law. Tender documents and bid data are retained according to your subscription plan and any contractual agreements. You can request deletion of your data at any time (subject to legal retention requirements).

8. Your Rights Over Your Data

Depending on where you are located, you may have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion (“right to be forgotten”)
  • Restrict or object to processing
  • Receive your data in a portable format
  • Withdraw consent at any time
  • Lodge a complaint with your local data protection authority

To exercise any of these rights, email us at privacy@tenzeya.com. We will respond within 30 days (or sooner where required by law).

9. International Data Transfers

Tenzeya is based in India. When your data is transferred outside your country (including to India), we use approved mechanisms such as Standard Contractual Clauses (SCCs) or rely on adequacy decisions to ensure an appropriate level of protection.

10. AI and Automated Decision-Making

Our Platform uses advanced AI (“Agentic AI”) to analyze tenders and generate insights. These automated processes are core to the value we deliver. You always retain full control over final decisions, and you may request human review of significant AI-generated outcomes whenever feasible.

11. Third-Party Websites & Services

The Platform may link to external sites (e.g., GeM, Ariba, government portals). We are not responsible for their privacy practices. Please review their policies separately.

12. Children’s Privacy

Our Services are not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.

13. Changes to This Policy

We may update this Policy from time to time. The “Last Updated” date at the top will always reflect the current version. We will notify you of material changes by email or through a prominent notice on the Platform.
